What is MS Word?

MS Word (Microsoft Word) is a word processing software made by Microsoft. It is used to create, edit, format, save and print text documents such as letters, stories, birthday cards, school projects and notices.

Type stories, letters, notices and school projects neatly.

Add, remove or change words and correct spelling mistakes easily.

Change font style, size, colour and make text bold, italic or underlined.

Add WordArt, Clip Art, Tables, bullets and page borders to make it attractive.

The MS Word Interface

"Interface" means the screen/window you see when MS Word opens. It has many parts that help us work easily.

1. Title Bar

The topmost bar. It shows the file name and has Minimize, Maximize and Close buttons.

2. Quick Access Toolbar

Small bar with Save, Undo and Redo buttons for quick use.

3. Ribbon

The big colourful strip below the title bar. It has Tabs, Groups and Buttons together.

4. Tabs

Home, Insert, Design, Layout, References, Mailings, Review, View — each tab opens different tools.

5. Ruler

Shown at the top and left of the page — helps set margins and indents.

6. Document Area

The big white page in the middle where we type our text.

7. Cursor / Insertion Point

The blinking vertical line that shows where the next letter will appear.

8. Scroll Bar

On the right side — used to move the page up and down.

9. Status Bar

Bottom strip — shows page number, word count and language.

10. Zoom Control

Bottom-right slider used to zoom the page in or out.

๐Ÿชœ How to open MS Word

  1. Click the Start Menu on the computer.
  2. Type Word in the search box.
  3. Click on the Microsoft Word icon.
  4. Select Blank Document to start typing.

Font Group — Bold, Italic, Underline & more

The Font group is on the Home Tab. It is used to change how our text looks.

๐Ÿชœ Steps to make text Bold / Italic / Underline

  1. Select (highlight) the text you want to change.
  2. Go to Home Tab → Font Group.
  3. Click B for Bold Ctrl+B, I for Italic Ctrl+I, or U for Underline Ctrl+U.

๐Ÿชœ Steps to change Font Size, Font Colour & Font Style

  1. Select the text.
  2. Font Size: Click the size box (e.g. 12) in the Font group and pick a new number.
  3. Font Colour: Click the small arrow next to the "A" with a colour bar and choose a colour.
  4. Font Style (Font Name): Click the font name box (e.g. Calibri) and choose a new style like Arial or Times New Roman.

Clipboard Group — Copy, Paste & Cut

The Clipboard group is also on the Home Tab (leftmost side). It helps us move or repeat text without typing again.

✂️ Cut

Removes the selected text and stores it in the Clipboard. Shortcut: Ctrl+X

๐Ÿ“„ Copy

Makes a duplicate of the selected text and stores it in the Clipboard. Shortcut: Ctrl+C

๐Ÿ“Œ Paste

Places the copied/cut text at the cursor position. Shortcut: Ctrl+V

๐Ÿ–Œ️ Format Painter

Copies the formatting (font, colour, size) of one text onto another text.

๐Ÿชœ Steps to Copy and Paste text

  1. Select the text you want to copy.
  2. Go to Home Tab → Clipboard Group → Copy (or press Ctrl+C).
  3. Click where you want the text to appear.
  4. Click Paste (or press Ctrl+V).

Insert Tab — WordArt, Clip Art & Table

The Insert Tab is used to add extra objects like decorative text, pictures and tables to a document.

๐Ÿชœ Steps to insert WordArt

  1. Go to Insert Tab → Text Group → WordArt.
  2. Choose a WordArt style from the gallery.
  3. Type your text — it appears in colourful, decorative letters.

๐Ÿชœ Steps to insert Clip Art

  1. Go to Insert Tab → Illustrations Group → Pictures/Online Pictures.
  2. Search or choose a ready-made picture (Clip Art).
  3. Click Insert to place it in the document.

๐Ÿชœ Steps to insert a Table

  1. Go to Insert Tab → Tables Group → Table.
  2. Drag the mouse to select the number of rows and columns.
  3. Click to insert — a grid of boxes appears to fill with information.

Paragraph Group — Bullets, Numbering & Alignment

The Paragraph group on the Home Tab arranges our text neatly.

• Bullets

Adds symbols (like dots) before each line — used for un-numbered lists.

1. Numbering

Adds numbers (1, 2, 3...) before each line — used for ordered/step lists.

⯇ Left Align

Lines up text to the left side of the page. Shortcut: Ctrl+L

☰ Center Align

Places text in the middle of the page. Shortcut: Ctrl+E

⯈ Right Align

Lines up text to the right side of the page. Shortcut: Ctrl+R

▤ Justify

Spreads text evenly so both left and right sides look straight. Shortcut: Ctrl+J

๐Ÿชœ Steps to add Bullets/Numbering and Align text

  1. Select the lines of text.
  2. Go to Home Tab → Paragraph Group.
  3. Click the Bullets or Numbering button.
  4. Click Left, Center, Right or Justify to align the text.

Page Border — Design Tab

A Page Border is a decorative line or design drawn around the edge of a page to make it look attractive — useful for greeting cards, certificates and posters.

๐Ÿชœ Steps to add a Page Border

  1. Go to Design Tab → Page Background Group → Page Borders.
  2. In the Borders and Shading box, choose a Style, Colour and Width.
  3. You may also pick a decorative Art border (stars, hearts, etc.).
  4. Click OK to apply the border to the page.
